Job Description

Position Overview:
The Senior Finance Officer for the School Feeding Project plays a vital role in overseeing the financial management of the initiative. This position is crucial for ensuring that financial resources are utilized responsibly, transparently, and in alignment with project goals.

Key Responsibilities:
• Managing all organizational bank accounts, ensuring that transactions are recorded accurately and in a timely manner. The staff member prepares monthly bank reconciliation statements, investigates discrepancies, and ensures alignment between bank records and internal financial systems.
• Verifying monthly payroll data, ensuring accurate salary calculations, and reconciling payroll accounts with supporting documentation. The staff member also reviews and reconciles accounts payable to maintain accurate financial records and prevent outstanding liabilities.
• Compiles and organizes financial data required for the Ministry of Economy’s biannual reporting. This includes ensuring compliance with MoE formats, timelines, and regulatory requirements to support organizational transparency and legal compliance.
• The successful completion of external financial audits by preparing required documentation, coordinating with auditors, and responding to audit queries. The staff member ensures that financial records remain audit ready and compliant with donor and regulatory standards.
• Coordinating and supporting donor led financial reviews and due diligence assessments. The staff member provides accurate information, required documentation, and timely clarifications to ensure compliance with donor standards.
• Prepares and submits financial documents, reports, and supporting evidence as requested by donor agencies. This responsibility requires accuracy, completeness, and timely submission to maintain compliance and support continued funding.
• The development of the organization’s annual budget by gathering departmental inputs, analyzing financial trends, and ensuring alignment with strategic and donor requirements. The final budget must be realistic, compliant, and approved by senior management.
• Responsible for preparing the organization’s annual income tax return in accordance with the Ministry of Finance’s tax laws and reporting requirements. This includes compiling accurate financial data, verifying allowable expenses and deductions, and ensuring timely submission to maintain full legal and regulatory compliance.
• Responsible for accurately entering all financial transactions into QuickBooks, ensuring that each entry is coded correctly according to the organization’s Chart of Accounts. The staff member maintains up to date ledgers, verifies supporting documents, and ensures that all entries comply with donor, audit, and organizational financial policies.
• Any other tasks as assigned by the management team.

Requirements

• Bachelor's degree in Finance, Accounting, or a related field; a professional qualification (CPA, ACCA, etc.) is preferred.
• Proven experience in financial management or accounting, preferably in non-profit or project funding environments.
• Strong knowledge of budgeting, forecasting, and financial reporting practices.
• Excellent attention to detail and organizational skills.
• Ability to communicate financial concepts effectively to non-financial personnel.
• Strong analytical and problem-solving skills, with the ability to address challenges proactively.
